Privacy Notice

The data controller is the organising committee of The Aiden Hoenigmann Memorial Golf Day. For any privacy question or request, email Chrishyde@gmail.com or use our contact form.

• At registration: your full name, email address and phone number, plus the date you accepted the terms and this notice.
• While using the app: the bids you place, the raffle tickets you buy, and any prizes you win.
• Payments: if you pay online, card details are entered directly with our payment provider. We never see or store your card number — we only record whether a payment was completed.
• If you contact us: the name, email and message you send through the contact form.
• Cash ticket buyers at the event: a name only, so a winning ticket can be matched to a person on the night.

• To run the auction and raffle — creating your account, recording bids and tickets, identifying winners and arranging payment. Lawful basis: performance of a contract with you.
• To verify your email address so that only genuine participants can bid or buy. Lawful basis: legitimate interests (preventing fraud and duplicate accounts).
• To send event emails such as ticket confirmations and winner notifications. Lawful basis: performance of a contract.
• To reply to your enquiry when you use the contact form. Lawful basis: legitimate interests.

We do not use your data for marketing, and we do not sell or share it with third parties for their own purposes.

• Our hosting and database provider, which stores the app and its data securely.
• Stripe, which processes card payments and holds the card data we never see.
• Our email delivery provider, which sends verification, confirmation and winner emails.

These providers act only on our instructions under contract. Winners' names may be shown on the event display screen during the day — that is the only public display of personal data.

Registration details, bids and ticket records are kept for up to 12 months after the event (31 July 2026) so that payments, prizes and the final fundraising report can be completed and checked. After that they are deleted or permanently anonymised. Contact form messages are kept for up to 12 months after we reply.

• Access and portability — download everything we hold about you at any time from the "Your data" section of your profile page.
• Rectification — correct your name, email or phone number on your profile page.
• Erasure — delete your account and personal data from your profile page. Please note that deleting your account removes any live bids, and financial totals needed for the charity report are retained in anonymised form.
• Objection and restriction — email us and we will stop or limit processing where the law requires.

We respond to requests within one month. If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk.

This site does not use advertising or analytics cookies. We store only the sign-in token needed to keep you logged in, which is strictly necessary for the app to work.

Data is stored in an access-controlled database. You can only see your own profile, bids and tickets; organisers with admin access can see participant details in order to run the event and contact winners. Passwords are stored hashed and are never visible to organisers.

If we change how we use your data we will update this page and, where the change is significant, tell registered users by email.
