Event rules
Terms & Conditions
1. Introduction
These terms govern participation in The Aiden Hoenigmann Memorial Golf Day ("the Event") silent auction and raffle, accessed through this website. By registering, bidding, or purchasing raffle tickets you agree to these terms. The Event is organised to celebrate Aiden's memory and raise funds for the chosen charity causes.
2. Eligibility
- You must be 18 years of age or older to register, bid, or buy raffle tickets.
- Each user must register with their own unique details. Sharing accounts is not permitted.
- The Event organisers reserve the right to refuse entry, bids, or ticket sales at their discretion.
3. Registration and accounts
- You are responsible for keeping your login details secure.
- Winners will be contacted through the app and by email to arrange payment.
4. Silent auction rules
- The silent auction opens and closes at the times set by the Event admin. A countdown timer is shown in the app.
- Each item has a reserve price. The item will only be won if the reserve is met or exceeded by the closing time.
- Users can see their own highest bid on each item. They will not be shown whether they are the overall highest bidder.
- The highest valid bid at the close of the auction wins, provided the reserve has been met.
- If two or more bidders place the same highest amount on an item, the bid that was placed first (by the time it was received) wins.
- Winners will be notified in the app and by email. Payment must be arranged with the organisers after the Event.
- The organisers may withdraw, combine, or reset an auction item if required.
5. Raffle process
Raffle tickets can be bought through the app by card, or with cash on the night of the Event — just speak to one of the organisers. All paid tickets are entered into the draw. This is how it works:
- Tickets can be bought in the app by card, or sold for cash on the night by the organisers, who record each purchase. Ticket prices and any volume discounts are set by the organisers.
- Every paid ticket is entered into the draw. Each ticket has a unique number.
- When a prize is drawn, the system collects every eligible paid ticket that has not already won another prize.
- One ticket is selected at random using a fair random-number process. Each eligible ticket has an equal chance of winning.
- The winning ticket number is shown on the display screen immediately.
- The winner's name is revealed by the admin when they choose, usually after checking the ticket is valid.
- A ticket can only win one raffle prize. Once it has won, it is excluded from future draws.
- The organisers may reset and redraw a prize if a mistake is made or a winner cannot be found.
6. Payments and prizes
- All auction prizes must be paid for in full before they are handed over.
- Payment instructions will be sent to winners by email.
- Prizes are non-transferable and cannot be exchanged for cash unless the organisers explicitly agree.
- Unclaimed prizes may be forfeited or redrawn at the organisers' discretion.
7. Cancellations and liability
- The organisers may cancel, suspend, or amend the auction or raffle if technical problems or other circumstances require it.
- The organisers are not liable for bids or ticket purchases lost due to user error, loss of internet connection, or device failure.
- Decisions made by the Event admin are final.
8. Data and privacy
Personal information collected during registration is used only to run the Event, contact winners, and send event-related notifications. It is not shared with third parties for marketing purposes. For more information, contact the organisers.
Registration details, bids and ticket records are kept for up to 12 months after the Event and are then deleted or permanently anonymised. You can download or delete your data at any time from your profile page. Full details are in our privacy notice.
9. Contact
If you have any questions about these terms, the auction, or the raffle, please speak to a member of the organising committee at the Event or contact the Event admin.
